Notes on the appointment letter

The appointment letter is the employee's record of their terms, so keep it consistent with the offer letter and with your HR policies. Attach the salary breakup — Basic, HRA, allowances and the employer's PF — so the CTC figure is clear.

Under the new Labour Codes, an appointment letter is a requirement for every employee, not just a courtesy. If you add a clause for gratuity, PF or leave encashment, follow the statutory rules rather than restating them loosely.

When the employee later leaves, the experience letter and relieving letter close the loop.
